POSITION

Executive Assistant to President to assist and support President
and Interface with clients, sales staff and office staff.

*PRINCIPAL ACTIVITIES OF POSITION

1. Acts as first line of contact; answers phone, checks voicemail, screens calls and responds or directs calls as appropriate.
2. Performs word processing (transcribing daily tapes); performing assigned tasks, proofing and editing of correspondence, reports, mailings, etc.
3. Schedules and maintains calendars; schedules appointments
4. Opens, sorts and distributes mail. Files, copies and faxes materials as required.
5. Establishes and maintains automated and/or manual files.
6. Provides backup assistance to the Office Management.
7. Performs A/R, A/P responsibilities as required.
8. Generate TRAD/PHC/GTW work orders; run reports for any outstanding work orders for timely scheduled services.
9. Follow up on verbal estimates and written proposals.
10. Preparation of annual renewals, maintain renewal program and new homeowner program.
11. Nightly close-up where applicable.
12. Resetting Service Solution and check email account in morning and throughout day.

REQUIREMENTS OF POSITION

1. Experience working with, and general knowledge of, spreadsheets, databases and database entry, and experience and familiarity with Microsoft Office Suite (Outlook, Word, Excel) and ability to become proficient with Service Solutions.
2. Ability to type accurately and with agility.
3. Ability to interact with staff at all levels.
4. Ability to prioritize and handle multiple tasks simultaneously.
5. Ability to work under deadlines.
6. Excellent customer service orientation and interpersonal skills.
7. Strong planning, organization and time management skills. Strong detail orientation.
8. May require some overtime as needed.
